Introduction


Tasks within loops can help you stay organized and on time in loops! With these lists you can have an itemized to-do list that is able to alert not only yourself, but others of when certain tasks must be completed. Each of these lists can be created within your loop or loaded from preset templates created by you or your office.

Creating task lists


Within each loop there, you will see the section labeled TASKS which, in most cases, will default to the bottom of your loop. By default, you will have two options: Add Tasks, or LOAD TEMPLATE. For this, we will want to focus on creating our own task list within the loop. To do this, click on the Add Tasks header.


 

A new task list will now be created, named MY TASKS. Let's first rename this list to suit our needs, clicking on the options icon beside the list.


 

While in this list you will notice some options. Let's break those options down:

  • Create template: this will allow you to convert your task lists into templates that can be accessed and added to any loop in the future.
  • Share: clicking this will allow you to share your task list to another party.
  • Rename: this option allows you to rename the task list.
  • Delete: choosing this will delete the task list from your loop.
  • Hide task list from team members: Once chosen, this task list will be only viewable by you and no one else, even if they are on your team in the loop.


For now, let's choose RENAME and choose our new name for the task list.


 

Now that our task list is named, let's add some tasks. To accomplish this, click on ADD A TASK... and begin typing the name of the task. Once done, press enter/return on your keyboard to finalize the task name.


 

If you need to rename or delete tasks, you can accomplish this via the options icon next to the specific task.


 

Once your list is complete you can click the check box to the left of each task to complete that specific task. As you do this, you will notice that the circle next to your loop name will begin to fill in. This is your task completion meter, and can be viewed within the loop or on your loops page.



 

Once you have your first task list added to your loop you will notice two other options have now appeared. You can now move your task list to the top of your loop (or bottom if it is at the top), as well as the ability to add an additional task list.

Task templates


Task templates are preset task lists that are stored in your templates section on your account. These lists can be created but either you or your brokerage and loaded into the loop, fully ready.


 

While within your loop you can quickly load any of these lists from your tasks section by choosing the LOAD TEMPLATE option. 


 

Once selected, you will see all of your task list templates. Choose one or more lists and then select ADD.


 

Each selected list will now be in your loop and ready to use!

Assigning tasks


Within any task list, specific tasks can be assigned to your clients. This will send an email notification to that person letting them know they have tasks to complete. This can be useful to remind yourself or others to complete certain tasks. To assign tasks to a person we will want to first navigate to the task and click on where it says UNASSIGNED.


 

From this new menu, you will be able assign the due date to the task, as well as who we would like to assign it to. Once assigned, the person will receive a notification email. We will also send a follow up email on the day the task is due, as well as an email every day it is overdue. To assign the task to your client, click where it says NO ONE underneath the ASSIGNED TO section.


 

Now we can select to assign the task to anyone in the loop or we can add someone new (which will add them to the loop).

Sharing tasks


Any task list in your loop can be shared to anyone within the loop. To do so, navigate to the list you wish to share. Next to the name of the list, click on the options icon, and select SHARE from the menu.


 

This will open the Share task lists window. Share with someone in the loop by check marking the box next to their name, and you can enter a custom message that will be contained in the email notification they receive. If the person you wish to share the list with is not in the loop they can be added here as well. When ready, click SHARE.


 

Once shared, the list will now appear in their loop!

Global tasks section


Within your dotloop account there is a global tasks section, with which you can view all the tasks in your account across all of your loops. This can be accessed via the top menu of your account.


 

Once here, you can see all tasks based on the options displayed.

  • Assigned to me: this will display all tasks that are assigned to you.
  • Overdue: here we will see all tasks that are currently past their due date.
  • Completed: all completed tasks will display here.
  • All tasks: every task across all loops will show here.


 

In this section we can also add singular tasks, bound by no loop, clicking + ADD TASK.
